The Rule That Governs Every Signing

The signer must understand the document. Here is what that means for you.

Massachusetts notary law requires that every signer understand the document they are signing — in a language they speak fluently. This requirement protects signers from unknowingly executing documents they do not understand.

For our Arabic and French-speaking clients, this is straightforward: our staff is fluent in both languages. The notary can explain the document in Arabic or French directly, confirm understanding and proceed with the signing. No interpreter, no delay, no extra cost.

For all other languages — Spanish, Portuguese, Haitian Creole, Khmer, Vietnamese and more — a certified translator must be involved first. The document must be translated into a language the signer understands, the translator must certify their translation in writing, and then notarization can proceed. We coordinate that entire process.

Why this rule exists. A notary who witnesses a signature without confirming the signer understands the document puts the document’s legal validity at risk. Courts can invalidate documents signed without informed consent. Our process protects you and your document.

Most foreign documents that need to be used officially in the United States or abroad follow a specific four-step process. We manage every step or coordinate the parts we do not handle directly.

Translation by a certified translator

For Arabic and French documents, no translation is needed if the signer is fluent. For all other languages, a qualified translator produces a complete, accurate English translation and signs a certification of accuracy.

Notarize the translation certification

The translator’s signed certification of accuracy is notarized alongside the original document. This creates a legally authenticated bilingual package ready for official use.

Notarize the underlying document

The signer executes the document in our presence. We verify identity, administer any required oath, witness the signature and apply the Massachusetts notary seal.

Apostille for international use

Documents going to Hague Convention countries need apostille from the Massachusetts Secretary of State. We coordinate apostille as the final step in the package. See our full apostille guide.

Can a foreign passport serve as ID in Massachusetts?
Yes. A valid, unexpired foreign passport is an acceptable primary photo ID for Massachusetts notary purposes. No Massachusetts ID or driver’s license is required. We note the passport details in our notary journal. You may also bring your permanent resident card, visa or employment authorization document as supporting documentation.
What if my document is not in English?
For Arabic and French documents, our staff proceeds directly — no translation needed. For all other languages, the standard workflow is: have the document translated by a qualified translator, have the translator sign a certification of accuracy, then bring both to your notary appointment. We notarize the original document and the translation certification together. Call 978-424-4629 and we will guide you through the process for your specific document.
Do you provide immigration legal advice?
No. We are notary public experts, not immigration attorneys. We notarize documents that require a notary seal — affidavits, sworn declarations, powers of attorney and USCIS forms. For immigration strategy, visa questions, status determinations or deportation defense, consult a licensed immigration attorney.
What is a single status affidavit and do you notarize them?
A single status affidavit — also called an affidavit of single status or certificate of celibacy — is a sworn statement that you are legally single and free to marry. Countries including Italy, Spain, Mexico, Dominican Republic, Brazil and Morocco commonly require it before a foreign national can marry their citizen. We notarize single status affidavits directly in Arabic and French. For other languages, we coordinate translation first. Many countries also require apostille — we handle that as part of the complete package.
